This policy explains what information Kairos Halo collects when you visit this website, send us a project inquiry, or book a consultation — and how we use, share, and protect it.
This Privacy Policy applies to the public Kairos Halo website and the information you choose to share with us through it — for example, when you submit a project inquiry, book a consultation, or ask us a question. Throughout this policy, "we," "us," and "Kairos Halo" refer to the operator of this website.
Our website is intended for business owners, organizations, and prospective clients. It is not directed to children.
We only collect information that helps us respond to you and run our business. The specific information depends on how you interact with us.
We do not run third‑party advertising networks, marketing pixels, or behavioral‑advertising trackers on this website, and we do not build advertising profiles about you. The one product‑analytics tool we use, Microsoft Clarity — only with your consent — is described in Behavioral analytics (Microsoft Clarity) below.
We collect information in three ways: (1) directly from you when you complete a form or contact us; (2) automatically through your browser and our hosting infrastructure when you use the site; and (3) from the link you used to reach us, when that link carries campaign or referral parameters.

Where privacy law requires a lawful basis (for example, in the EU/UK), we rely on your consent, on steps taken at your request before entering an agreement, on our legitimate interest in operating and securing our business, and on compliance with legal obligations, as applicable to each use above.
Some links that lead to Kairos Halo — including links shared by partners and affiliates — contain parameters that identify the campaign or the referring partner (for example utm_source or a partner reference code). When you submit an inquiry after arriving through such a link, we record those parameters with your submission so we can attribute the referral and, where an affiliate arrangement applies, calculate any compensation owed to a partner.

The public website uses Microsoft Clarity for privacy‑friendly behavioral analytics. It is off by default: no analytics cookies are set and no session is recorded until you choose "Allow analytics." You can change your choice at any time from Cookie Preferences in the footer, and if your browser sends a Global Privacy Control signal, analytics stay off automatically.
Microsoft Clarity is a product‑analytics service provided by Microsoft. We use it to understand how visitors actually experience the public site — which sections they read, where they hesitate, and which links are hard to find — so we can improve the layout, content, and booking flow. We use this for usability and product improvement, not to advertise to you and not to build a marketing profile.
When enabled and permitted, Clarity uses first‑party cookies and browser storage (such as _clck and _clsk) to recognize returning visitors and group page views into one session, and Microsoft may set additional cookies on its own domains. These are non‑essential analytics cookies and are listed in full in our Cookie Policy.
We configure Clarity to mask form fields and text so the details you enter are not readable in session replays — including your name, email address, phone number, business information, project description, and appointment notes. Kairos Halo does not record passwords or payment‑card details through Clarity, and the public site does not take payments. Because Clarity masks input by default and we add explicit masking on our forms, the personal details you submit are handled through our secure forms — not exposed in a recording.
Microsoft acts as our service provider (processor) for Clarity and processes the data on our behalf, subject to the Microsoft Privacy Statement. Where privacy law requires prior consent (for example, in the EEA, the UK, and Switzerland), Clarity will not set analytics cookies or record a session until you agree, and Microsoft's own consent enforcement applies automatically to that traffic. You can decline analytics where a choice is offered, block cookies in your browser, or use a global privacy signal to opt out. Enabling Clarity will not change what the site does for visitors who opt out.
Like most modern websites, we use trusted third‑party services to operate. These providers process information on our behalf, under their own security and privacy terms, and only to provide their service to us:
Because these providers process information for us, your information is necessarily handled by parties other than Kairos Halo. We limit that handling to what each service needs in order to function, and we do not make blanket promises that your data is never disclosed to anyone.
We keep personal information only as long as we reasonably need it — for example, for the life of an inquiry or client relationship, to meet legal, accounting, or record‑keeping obligations, and to resolve disputes or enforce our agreements. When information is no longer needed, we take reasonable steps to delete or anonymize it. If you ask us to delete your information, we will honor that request subject to any legal obligations that require us to retain certain records.
We take reasonable technical and organizational measures to protect the information we hold. These include serving the site over encrypted HTTPS connections, applying security headers, rate‑limiting and filtering form submissions to reduce abuse, and relying on reputable infrastructure providers.
No method of transmitting or storing information over the internet can be completely secure, so we cannot guarantee absolute security or promise that your data is fully protected in every circumstance. We encourage you to share only the information necessary for your inquiry.
Depending on where you live, you may have rights over your personal information. These can include the right to access the information we hold about you, to correct inaccurate information, to request deletion, to opt out of certain uses, and — where processing is based on consent — to withdraw that consent.

We do not sell your personal information or share it for cross‑context behavioral advertising. When Microsoft Clarity analytics is enabled, we use it for our own product‑improvement purposes with masking applied; you can opt out of analytics as described in Behavioral analytics (Microsoft Clarity), and we will honor an opt‑out preference signal (such as Global Privacy Control) where applicable.
If you are in the European Economic Area or the United Kingdom, you have rights of access, rectification, erasure, restriction, portability, and objection, and the right to lodge a complaint with your local supervisory authority.

This website and our services are intended for businesses and adults. We do not knowingly collect personal information from children under 13 (or the equivalent minimum age in your jurisdiction). If you believe a child has provided us with personal information, please contact us and we will delete it.
Kairos Halo is developing membership, rewards, digital wallet, tap‑to‑connect (NFC), and related commerce features. These are not available to the public today, and this policy does not describe collecting data through them. Before any such feature launches, we will update this Privacy Policy to describe the information it collects and how it is used, and — where the law requires it — obtain your consent.
We may update this Privacy Policy from time to time as our website, services, or legal obligations change. When we do, we will revise the "Last updated" date above. Material changes will be reflected on this page. Your continued use of the website after an update means you accept the revised policy.
